Why Every Hairdresser Needs Business Systems

I moved to a new city this month. Although exciting, moving is so stressful. The morning that the moving truck arrived at my house I received a message from the salon. Our back bathroom was flooded with water. If you’re here to learn about hairdresser business systems, stick with me. I promise this story is going somewhere.

I often joke that the minute I step away things break. But it’s not really a joke. Things like this happen all the time.

I called my handyman who said he’d be there shortly. I notified my team to avoid that bathroom. I took a moment of gratitude, recognizing how fortunate we are to have two bathrooms and that the client bathroom was still working.

Business went on as usual, but it turned out to be a pretty big problem. I contacted my neighboring salon asking if they could accommodate us if needed, which was helpful later that week when our water was shut off during business hours. My team remained calm and professional, everyone rolled with the punches.

It took almost two weeks for the leak to be fixed. And during this time I was completely preoccupied with moving to my new home. 

Now that it’s over, I realize I did exactly what I set out to do: manage my business remotely. I’ve created systems that support day-to-day operations without my physical presence, including emergencies.

Salon Business Systems

Having systems in your business is how you reduce stress, minimize panic, and know what to do when various situations arise. As a salon owner, my systems are built to serve my team, the physical space, and everything that happens inside of it. In this plumbing emergency, my salon systems included:

  • A trusted handyman who could access the salon in my absence

  • A strong team who could go with the flow

  • A communication channel for clear and effective communication between me and my team

  • Relationships with neighboring businesses who could help in a pinch

Before the problem happened, everything was already set up to keep panic low and focus on fixing the problem.

Hairdresser Business Systems

You don't have to own a salon to build strong systems for your behind-the-chair business. As hairdressers, our systems are specifically designed to support our business and our clients. They help automate, simplify, and reduce stress so we can feel relaxed and focused in our business. Our systems ensure that repeat tasks and common issues are handled.

Some of the hairdresser business systems I use include:

  • Automated appointment confirmations and reminders

  • Up-to-date client notes

  • A digital referral card for easy sharing

  • A review link page to send to happy clients

  • Relationships with coworkers for mutual support

These are the things that keep the day-to-day business side of hair simple and strong. When I have a coworker relationship built on mutual trust, I can borrow a flat iron when I forget mine at home. When my clients' appointment confirmations are automated, I'm not obsessively texting everyone every day.

Communication Scripts: My Favorite Hairdresser Business System

One of the most useful hairdresser business systems I've built is a library of communication scripts. I have scripts for clients who are running late, clients who consistently miss appointments, price increases, service follow-ups, quarterly check-ins, and even letting a client go. Having these ready to copy, personalize, and send means I'm not reinventing the communication wheel every single time, or letting emotion drive my messaging.

How To Build Your Own Systems

When your hairdresser business systems are in place, you're ready for anything. You know your appointments are confirmed and you're set up for a successful day. You know that if a client is unhappy, you have a script to help you communicate calmly and professionally. Your business continues to steadily grow because it’s easy to share your referral program and request a review after the appointment. 

If you haven't thought purposefully through your business systems, I encourage you to start. Begin by listing everything you do outside of physically doing hair. Can any of it be automated or simplified? Are there repeat tasks every week that could benefit from a more streamlined approach? Use my list where it's relevant, and add anything that will make your work simpler and more consistent.

Once your systems are in place, you'll see how useful they are  for solving problems, reducing stress, and supporting steady growth. When things go sideways, like my plumbing issue, your systems will save you.
